Board Position
Descriptions:
President (two year position)
-
Responsible for the
successful operation of NfCNS, by coordinating the efforts of
the entire board as well as chairing the Executive Committee,
the President will:

Supervise the
school’s director.

Administer
compensation packages.

Ensure DCFS
requirements are met.

Oversee all
committee work, standing and ad hoc.

Final approval of
all contracts committing NfCNS.

Second signatory on
operating account.

Chairs nominating
committee.

Evaluates and
reviews all insurance policies.

First Vice
President (one year position)
-
Assist the President
in the general operation of NfCNS.

Specific
responsibilities include:

Take on the role of
President in her absence.

Chairs the strategic
planning committee.

Chairs the bylaw
committee.

Sits on Executive
Committee.
-
Oversees all
fundraising and work of fundraising committee.
-
Responsible for
reviewing all new fundraising.
-
Responsible for
notifying board members of repeated absences according to the
board policy.
-
Maintains regular
evaluations of all members’ fulfillments of base requirements.
-
Is a second
signature on benefit account checks.
-
Coordinates the
updating, compiling and distributing of the school directory.
-

Vice President
Personnel (two year position)
-
Acts as the board
liaison to the NfCNS staff, including:

Serves on the
strategic planning committee.

Attends staff
meetings.

Assists director
with of new staff.

Assists the
president in hiring a new director, if needed.

Prepares annual
staff compensation packages.
-
Biannually reviews
NfCNS policies and procedures manual.
-
Biannually reviews
NfCNS compensation to ensure competitiveness.
-
Complete NfCNS
salary/tuition surveys.
-
Research benefit
packages for the staff.
-
Signature for the
benefit account.
-
Sits on the
Executive Committee.

Recording
Secretary
-
Responsible for the
recording of meeting minutes of the board meetings and Executive
Committee meetings.

Types and
distributes minutes, at least one week prior to the next board
meeting.

Takes attendance at
board meetings.

Sits on Executive

-
Holds record of all
Board members participation via committee heads and reports to
First Vice President.

Collects and updates
exiting members minute notebooks and redistributes them to New
Members.

Manages website and
ensures it is current and updated in a timely manner.
Treasurer
(one-year term, preceded by one-year term as Assistant
Treasurer)

Responsible for all
financial and accounting procedures of NfCNS.

Oversee activities
of Asst. Treasurer and Fundraising Treasurer

Manage bookkeeper
activities except for tuition issues in Asst. Treasurer position
below.

Prepare and present
Budget.
-
Prepare for audit
and act as liaison with auditors.
-
Approve expenses and
sign checks for Operating Account.
-
Primary signatory
for Operating Account.
-
Review payroll
sheets prior to submission and sign paychecks.
-
Manage payroll
company relationship. Ensure (with bookkeeper) that quarterly
amounts in QB tie to quarterly payroll company reports.
-
Periodically
review fees and compare to contract.
-
Ensure staff
personal hours are tracked properly.
-
Ensure medical
expenses are properly reimbursed to staff (i.e., in a timely
manner not to exceed their contract amount for a fiscal year for
allowable medical expenses).
-
Attend executive
committee meetings as a voting member.
-
Ensure annual taxes
are filed properly with the IRS and IL.
-
Assist President and
VP Personnel with staff contracts for upcoming school year.
-
Monitors cash flow
and insures favorable cash/savings ratio.
-
Coordinates all
school records keeping
-

Assistant
Treasurer (moves up to Treasurer at end of one-year term)
-
Attends the 2
Executive Committee Meetings that are immediately prior to and
following the new registration enrollment period in December or
January.

Attends the October
Executive Committee meeting to discuss enrollment
projections that flow into the annual budget.
-
Manage Tuition
billing and payment plans; make calls for late payments
Ensure all tuition is paid.
-
Work with Treasurer
on projected enrollment budget projection.
-
Prepare summary of
tuition payments for Enrollment and Bookkeeper positions once
tuition amounts are set for following year.
-
Attend enrollment
events. Ensure that current families have paid before they
register for new classes.
-
Review scholarship
applications and discuss with President and Enrollment. All
three positions should approve to proceed.
-
Review contracts for
expense items periodically (e.g., copier, telephone, etc.)
(President handles insurance.)
-
Coordinates with
enrollment to insure correct record keeping and information.
-

Enrollment
-
Responsible for the
coordination of the enrollment procedures for all classes.

Maintains all
records in central data base of student enrollment.

Distribution of all
enrollment information packages.

Prompt response to
all enrollment inquiries.

Monitors enrollment
levels in all classes.
-
Maintains waiting
list of potential students.
-
Works with community
relations to ensure area wide publication of classes.

Member of strategic
planning committee.
-
Oversees assistant
enrollment.

Committee.

Assistant
Enrollment (every year moves up to enrollment position)

Assists Enrollment
Chair and School Director.

Initiates and
monitors enrollment for Parent/Tot, Movement and Music and
Summer Camp.

Coordinates Public
Relations campaign for the enrollment of Toddler classes, Camp
and Kindergarten Music.
-
Collects delinquent
tuition, security deposits, and registration fees.
-
Provides updated
school directory of students to the coordinator of the NfCNS
school directory.
-
Attends executive
committee meetings beginning January of each year, but does not
have a vote.
-

Equipment (3
people)
Toy cleaning takes place twice a year, usually in
January/February and again in July. The Equipment committee is
always looking for extra hands to help. This is a great way to meet other mothers and help keep the
school clean for our children!

Maintenance of
playground.

Buys and maintains
NfCNS office equipment.

Buys and maintains
NfCNS toys.
-
Purchases basic
supplies, as needed, in a cost effective manner
Coordinates the semi-annual cleaning of the toys and classroom
equipment.

Coordinates
equipment inventory and labeling.
-
Makes play dough for
the classrooms.
-
Purchases pumpkins,
turkey for Thanksgiving feast, pots and flowers for Mothers Day
and other project supplies as needed.
-

Responsible for
updating outdoor planters (2) spring/summer, fall, and winter.
Carpool/Library
(1 person)

Organizes and
maintains the NfCNS Library.

Coordinates the
carpool program.

carpool information to parents, including numbers, for the
school year and summer camp.
-

Hospitality (3
people, with 1 to stay on to next year)
NFCNS developed the Hospitality committee so that parents have
an opportunity to get involved with their child’s school. Among
many things, this committee assists with organizing volunteers
and room parents. The volunteers and room parents assist the
teachers and the Board of Directors with special classroom
activities, annual fund raising initiatives and family events,
to name just a few. This is a great way to contribute your time
and your talent as well as meet other parents and become
familiar with Board Members and their responsibilities.

Recruits room moms
for each classroom and outlines room mom responsibilities.

Recruits,
coordinates and oversees volunteers for school projects and
board committees.

Compiles calling
tree, as needed.

Arranges for
refreshments for all school functions when needed.

needed.

Coordinates Teacher
Appreciation function.

Prepares student
snack calendars.

Annual Benefit
(minimum 5 people, with one to stay on the next year)
Do you love a good party? Then this is the committee for
you! The Annual Benefit is the largest fundraiser for
NFCNS. The Annual Benefit is a great way to meet other parents
and to get to know your children's teachers outside of the
classroom. It is a F-U-N event that helps raise money for
equipment, scholarships for students, teacher bonuses and
facilitates continuing cultivation of the friends and patrons of
the school among alumni parents, past donors, and community
friends.

Responsible for the
planning and production of the Spring Benefit, including:

The scope of the
event, date, and theme of the event, invitations, decorations,
fund raising activities.

Fundraising
Committee (minimum of 4 people, including one to stay on the
next year)
The Fundraising committee sets annual goals for fundraising,
orchestrates the Board directors’ leadership and participation
in the fund-raising program, and oversees all fund-raising
activities by the school.

Responsible for the
planning and production of all of the smaller fundraising
events.

Planning the Fall
Cocktail Party.

Organizes all other
small fundraisers as determined with First VP

Fundraising
Treasurer (2 year term, generally, unless moving to another
treasurer position)

Responsible for the
financial activity of the board’s benefit efforts including:

Oversees all
activity of the benefit account.

Primary signatory
for benefit account; approve expenses, sign checks, and
coordinate cash needs.
-
Ensure revenues and
expenses are recorded properly in Benefit Account.
-
Prepare financial
summary of each event once items are booked for auditors and
treasurer. (e.g., one-page description to include total
revenues, total expenses, description of
event, variance from prior year, date, etc.)
-
Handle required
activities for annual benefit (and other fundraisers,) such as
managing check-out process, procuring cash for event, preparing
checks for vendors, coordinating credit card process, and
summarizing financial aspects of event for bookkeeper.

Attends benefit
committee meetings, as needed.

Public Relations
(2 people)
-
Provides strategic
ideas and initiatives with all members of board to ensure
community awareness of NfCNS utilizing various media.

Responsible for TV
Tune out.

Winnetka Alliance
Representative: Attends monthly Alliance Meetings and reports
back to the board.
-
Responsible for
getting enrollment and other needed information and advertising
out to area wide publications (Pioneer Press) and working with
Enrollment Chairs on this task.

Newsletter: Collects
information for, types collates and distributes monthly
newsletter.
-
